Match photos in bulk with Image Drive

Upload photos for many parts at once by dropping in folders named by part number, then match anything left over.

Match photos in bulk with Image Drive

Image Drive uploads photos for many parts at once. You group each part's photos into a folder named with that part's number, drop the folders in, and GridX Connect matches each folder to the matching part in your inventory and attaches its photos.

Despite the name, Image Drive is not Google Drive and does not connect to any online account. It reads folders from your own computer, and the "Drive" is GridX Connect's own image library. What matters is the folder name — the filenames inside are ignored.

Image Drive needs a paid plan. If it is not on yours, the sidebar item is locked with a Pro badge, and you add photos one part at a time instead.

> [!NOTE] > The sidebar item and the page header both read Image Drive, but your browser tab may still read Bulk Images — GridX Connect. It is the same page.

Before you start

  • A paid plan — Image Drive is locked otherwise.
  • Photos on your computer, grouped into folders each named exactly with a part number, for example 8V0615601A.
  • All those part-number folders inside one parent folder.
  • Photos in JPG, PNG, WEBP or GIF, each under 10MB.

Steps

  1. On your computer, put each part's photos in a folder named with the part number. Put all those folders inside one parent folder.
  2. Open Image Drive from the sidebar.
  3. Drag the parent folder onto the drop zone headed Drag Part Number Folders Here, or click Browse Folders and pick it. The zone reminds you: Folders must be named by Part Number (e.g., 8V0615601A) for auto-matching.
  4. Wait while the photos upload. GridX Connect reads each folder name against your inventory and sorts the folders. You get a line like Upload complete! 12 auto-matched, 3 in Drive.
  5. Matched folders are done — their photos are on the parts, marked with a green Synced badge. Unmatched folders wait in the gallery below, under the Pending tab.
  6. Clear each unmatched folder one of three ways: click a suggestion chip to attach the whole folder to the suggested part, use Search & Match All to find the part yourself, or Delete All to bin the folder's waiting photos.

How matching works

Image Drive reads the folder name as a part number and looks it up in your inventory. The folder name is the only thing that matters — the filenames inside are ignored, so 8V0615601A/front.jpg and 8V0615601A/IMG_2231.jpg both go onto part 8V0615601A.

  • Matched — the folder name found a part, so its photos go straight onto it. Nothing more to do.
  • Unmatched — the folder name found no part, so its photos wait in the gallery for you to match by hand.

Every action in the gallery works on the whole folder. There is no per-photo match or delete: matching attaches every waiting photo in the folder to one part, and Delete All removes every waiting photo in that folder. To remove a single photo, match the folder to its part first, then delete that one photo from the part's Product Images panel.

The gallery: Pending, Matched and All

The gallery below the drop zone has three tabs. Pending is your to-do list, with one row per unmatched folder and an orange Unmatched badge. Matched shows the folders that found their parts, and All shows everything. The gallery shows 50 photos per page. When nothing is waiting, the Pending tab reads No Unmatched Images.

Match an unmatched folder by search

When no suggestion chip fits, click Search & Match All on the folder's row. This opens Search Inventory to Match, pre-filled with the folder name. It searches your SKU, part number and title, needs at least 2 characters, and searches as you type. Click the result row, then Match to Selected, and every waiting photo in that folder goes onto that part.

Limits

| Rule | Value | |---|---| | Folders per upload | 1000 — over that, the upload will not start | | Photos per folder | 24 — extras are dropped with a warning, but the folder still uploads | | File size | 10MB per file | | Formats | JPG, PNG, WEBP, GIF | | Gallery page size | 50 photos per page | | Loose files | Rejected — Image Drive matches on folder names | | Deep nesting | Rejected — the structure must be parent → part-number folder → photos |

> [!TIP] > You can drop the parent folder that holds all your part-number folders, or a single part-number folder on its own. What does not work is picking loose files.

If something goes wrong

| On-screen text | Why it appears | What to do | |---|---|---| | You selected 5 individual files, not folders. Use "Browse Folders" and pick the PARENT folder that contains your part-number sub-folders. | You picked loose files, which cannot be matched. | Put each part's photos in a folder named with the part number, then pick the parent folder. | | Files were found but are not inside part-number folders. Organize them into sub-folders named by part number (e.g. 8V0615601A/front.jpg). | Your photos are not inside part-number folders. | Create folders named exactly like each part number and drop the parent folder in. | | Your folder structure is nested too deeply. Select the immediate parent of the part-number folders — not a higher-level category folder. | You picked a folder more than one level above the part-number folders. | Pick the folder that directly contains your part-number folders. | | Too many folders (1200). Maximum is 1000 folders per upload. Split the upload into smaller batches. | You are over the 1000-folder limit, so the upload does not start. | Split into batches of 1000 folders or fewer. | | 2 folders over 24-image limit / 8 excess images will be skipped. | A folder has more than the 24 photos a part can hold. Extras are dropped. | Trim those folders to your best 24 photos. | | Processing stalled / Upload taking longer than expected — refresh to check status. Images may still be processing in the Drive. | Image Drive saw no progress for about two minutes. | Refresh and check the gallery before re-uploading — the photos are often already there. | | No results found for "8V0615" / Try a different search term | Nothing in your inventory matches what you typed. | Try a shorter search, or search by SKU or title. | | Image Drive requires a paid plan. | Image Drive is not on your plan. | Upgrade, or add photos one part at a time in Product Images. |
