Run a bulk upload
Add many parts to your inventory from one spreadsheet: pick New or Used, upload a CSV or Excel file, start processing, and read the results receipt.
Bulk Upload adds many parts to your inventory from one spreadsheet, so you do not add them one at a time. You choose New or Used for the whole file, drop in a CSV or Excel file, and GridX Connect reads every row and adds the parts while you watch a live count.
The page runs in three stages, shown across the top: Upload, Processing, and Results. There is no step where you match spreadsheet columns to fields — you fill a fixed template and GridX Connect works the columns out for you.
Bulk Upload adds parts to your inventory only. It does not put them on eBay — publishing is a separate step you do from Inventory afterwards.
> [!NOTE] > Bulk Upload lives in the left sidebar and opens at /bulk-upload. If you need to change the price or stock of parts you already have, that is a different tool — see Bulk Update (price & stock).
Before you start
- Your plan includes Bulk Upload — the sidebar item is not locked with a Pro badge.
- You have SKU room left on your plan.
- Your SKU prefix is set, or you complete the short prefix step the first time it appears.
- Your parts are saved as a CSV (
.csv) or Excel (.xlsx) file, 10MB or smaller, built from one of the templates. For how to fill it, see Build your bulk-upload file.
Steps
- In the left sidebar, click Bulk Upload.
- Under Download Template, click Standard Template or Advanced Template, and fill it with your parts.
- At the top of the Upload step, choose a condition: New (Brand new parts) or Used (Pre-owned parts). One choice applies to every row in the file.
- On a multi-marketplace account only, pick the Listing currency (for example USD or GBP). It is Applied to every row in this file. Single-marketplace accounts do not see this row and are priced in US dollars.
- Drag your file onto the dropzone, or click Choose File. The dropzone reads Drop CSV or Excel file, or click to browse, with the caption CSV, XLSX • Max 10MB • Part type auto-detected.
- Click Start Processing. GridX Connect uploads the file and starts the job. The button reads Uploading... while the file is on its way.
- Watch the Processing panel — the part it is on, the speed in SKUs per minute, an ETA, and a live count. You can leave the page; the job keeps running. To stop it, click Cancel Job.
- When the job finishes, the page moves to Results and shows Upload complete. Read the Added count, and click View details on the issues chip to see any Duplicate, Failed, or Dropped rows.
- Click View Inventory to see the added parts, or New Upload to run another file.
What the receipt tells you
The Processing and Results panels show the same four counts. A large Added number over the total sits at the top, and the four buckets break the run down:
| Count | What it means | |---|---| | Added | Parts placed in your inventory. | | Duplicates | Part numbers already in your inventory. These are skipped, not added again. | | Failed | Rows that errored while processing. Each is listed with a reason. | | Dropped | Rows GridX Connect could not verify or find. Each is listed with a reason under View details. |
If every row in your file was already in your inventory, nothing new is added and you see All parts already exist in your inventory.
Dropped rows each carry one of three reasons:
- No information found for this part number.
- Couldn't accurately verify the product details.
- Unable to process this part number, please try again or contact support.
To fix dropped rows, use the correct OE or Manufacturer Part Number and add the Make or Brand, then upload those rows again. Whether a Failed, Dropped, or Duplicate row uses one of your plan's SKUs is decided by the backend and is not shown on the page.
Two downloads, two different files
The Results panel offers two downloads, and they are not the same file:
| Button | What you get | |---|---| | Download CSV | The finished, enriched file — every row GridX Connect processed. It opens in a new tab. | | Export CSV | Only the rows that did not go in, saved as {filename}_errors.csv. Use it to correct and re-upload those rows. |
The same two downloads appear in Recent Jobs as icon buttons, with the tooltips Download uploaded file and Download error report.
Recent Jobs and cancelling
Down the side of the page, Recent Jobs lists your past uploads, each with the filename, date, parts added (+{n}), and any errors ({n} errors). A coloured dot shows the state: green for finished, a blue pulse while processing, and red for a job that failed. If it reads No jobs yet, you have not run one.
A running job survives you leaving or refreshing the page. It reopens at the right stage — Processing if it is still running, Results if it has finished. To stop a job while it runs, click Cancel Job: the page returns to the Upload step and shows Job cancelled successfully. You can only cancel while the job is running.
Putting the parts on eBay next
Bulk Upload adds parts to your inventory; it does not publish them. When you are ready to list:
- Open a part in Inventory.
- Add at least one photo. For parts that came in without a picture, the Results panel reminds you: Items missing images? Use PartSnap in Inventory.
- Click Publish in the part's eBay panel.
If something goes wrong
| On-screen message | What to do | |---|---| | File size must be less than 10MB | Split your parts into files under 10MB each, then upload again. | | Only CSV and Excel (.xlsx) files are supported | Save your spreadsheet as CSV or Excel (.xlsx) and choose that file. | | Please select a file | Add a file to the dropzone before you process. | | Please select a condition above before processing | Pick New or Used at the top of the Upload step. | | Start Processing is greyed out | The button needs both a file and a condition. Add both to turn it on. | | All parts already exist in your inventory | Upload part numbers you do not already stock. Existing parts are skipped. | | Too many requests. Please wait a moment and try again. | Wait a short moment, then try again. | | Connection error. Please refresh the page to continue. | Refresh the page — your job keeps running and reopens at the right stage. |
If your account reaches its SKU limit, or hits a billing limit such as a monthly spending cap, a plan quota, or a suspended account, the job stops and the matching upgrade or billing prompt opens. Sort it out in Plan & billing, then run the upload again.
When a row shows as Failed, the reason comes from the backend rather than a fixed list in the app. Open View details, read the reason next to that row, correct the row in your file, and upload it again.
